JOB SUMMARY
The Finance & Admin Associate is responsible for supporting the financial and administrative operations of the firm. This role handles bookkeeping, billing, accounts payable and receivable, financial reporting, and compliance with tax and regulatory requirements, while also ensuring the orderly and efficient management of office administration. The Finance & Admin Associate works under the supervision of the Operations Manager and collaborates closely with the legal and HR teams to maintain the firm’s financial integrity and operational efficiency.
DUTIES AND RESPONSIBILITIES
Finance & Accounting
- Maintain accurate books of accounts and ensure timely recording of all financial transactions in accordance with generally accepted accounting principles.
- Prepare and process client billing statements, official receipts, and invoices; monitor collection and follow up on outstanding accounts receivable.
- Process accounts payable, including review of invoices, preparation of vouchers, and coordination of payments to vendors and suppliers.
- Assist in the preparation of monthly, quarterly, and annual financial statements and management reports.
- Monitor and reconcile bank statements, petty cash, and firm accounts on a regular basis.
- Assist in budget preparation, cost monitoring, and expense tracking for the firm.
- Coordinate with external auditors and government examiners during audits and regulatory inspections.
- Maintain organized and up-to-date financial records, vouchers, and supporting documents for audit and reference purposes.
- Manage and monitor office supplies inventory, equipment, and facility needs; coordinate procurement and replenishment as necessary.
- Organize and maintain physical and digital filing systems for firm documents, correspondence, and contracts.
- Assist in coordinating internal meetings, firm events, and travel arrangements for legal and management staff.
- Ensure proper upkeep and maintenance of the office premises and equipment.
- Perform other duties as may be assigned by the Executive Director or through his/her representative
QUALIFICATIONS & REQUIREMENTS
- Bachelor’s degree in Accountancy, Finance, Business Administration, or any related field
- At least 1–2 years of experience in finance, accounting, or administrative functions; prior experience in a law firm or professional services setting is preferred.
- Solid understanding of Philippine taxation, BIR compliance, and government statutory requirements (SSS, PhilHealth, Pag-IBIG).
- Proficient in MS Office applications (particularly Excel); experience with accounting software is a plus.
- Strong attention to detail, numerical aptitude, and ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills in English and Filipino.
- Able to work independently and as part of a team in a fast-paced legal environment.
- Demonstrates professionalism, reliability, and a proactive, service-oriented work ethic.
