HR and Admin Associate

JOB SUMMARY
The HR & Admin Associate provides essential human resources and administrative support to the firm. This role is responsible for day-to-day HR operations including recruitment, onboarding, employee records management, and benefits administration, while also ensuring the smooth and efficient functioning of office operations. The HR & Admin Associate works closely with firm management and legal staff to foster a productive and professionally compliant workplace.
DUTIES AND RESPONSIBILITIES
Human Resources
- Assist in end-to-end recruitment processes including job posting, screening of applicants, scheduling of interviews, and coordination with hiring managers.
- Facilitate onboarding and orientation of newly hired employees, ensuring completion of pre-employment requirements.
- Maintain and update employee records, 201 files, and HR databases in an accurate and confidential manner.
- Process and monitor employee attendance, leaves, and timekeeping records.
- Administer employee benefits enrollment and coordinate with government agencies and HMO providers.
- Support the implementation of performance appraisal processes and maintain evaluation records.
- Assist in drafting HR communications, memos, notices, and employment contracts.
- Ensure compliance with labor laws, firm policies, and regulatory requirements.
- Handle employee relations concerns and escalate issues to the managing partner or HR head as appropriate.
- Coordinate internal meetings, firm events, and travel arrangements for legal and management staff.
- Ensure proper recordskeeping and maintenance of HR files, both physical and electronic.
- Perform other tasks as may be assigned by the Executive Director or his/her representative
QUALIFICATIONS & REQUIREMENTS
- Bachelor’s degree in Human Resource Management, Business Administration, Psychology, or any related field.
- At least 1–2 years of experience in HR and/or administrative functions; experience in a law firm or professional services environment is an advantage.
- Working knowledge of Philippine labor laws, statutory benefits, and government remittances (SSS, PhilHealth, Pag-IBIG, BIR).
- Proficient in MS Office applications
- Strong organizational skills with keen attention to detail and the ability to handle confidential information with discretion.
- Excellent written and verbal communication skills in English and Filipino.
- Able to work independently and collaboratively in a fast-paced legal environment.
- Demonstrates professionalism, integrity, and a service-oriented attitude.
